Email to Incoming Freshmen Qualified to Select a Roommate

Dear ,
Congratulations on your acceptance to Seton Hall University! We are happy to say we have received your housing deposit by the May 1st deadline and are excited to welcome you to our community –your home at The Hall- this coming August!
Because you have met our deposit deadline, you are qualified to select a roommate or roommates of your choice. Instructions on how to select a roommate can be found at this link: Roommate Selection Instructions.
Some important notes about Roommate Selection before you begin:
• You do not have to select a roommate. If you have not met anyone you would like to live with, we will use our housing software and the answers to your Roommate Survey to match you up with someone as best as we can.
• You may only select a roommate from the other students of the same gender who have also qualified to select a roommate. There are 660 students qualified for roommate selection which is over half of the freshmen class. If your friend’s name does not appear in our system, they did not meet our deposit deadline. We cannot make exceptions to this.
• All roommate requests must be made by 3pm on July 1st so we may begin making room assignments immediately after.
• If you only pick one roommate, you may be placed in a triple room with another random roommate, as 30% of our rooms on campus are triple-occupancy rooms. This is done randomly by our software and room type or building requests are not accepted.
• Room assignments and roommate names will be emailed to you in mid-July to your SHU Email address. Assignments are not confirmed until this email has been sent to you.
• If your plans have changed and you do not plan to live on campus at Seton Hall University, please complete the Housing Assignment Cancellation Form for a refund of your housing deposit.
• For more helpful tips on selecting a roommate check out our website just for freshmen and follow us on Twitter and Facebook at @SetonHallHRL.
Freshmen move-in day will be Thursday, August 21st. You’ll receive your specific move-in time when you receive your housing assignment in July. While you’re planning out your new room, be sure to check out our What to Bring List and our Fire Safety Guidelines for what’s not permitted.
Good luck for the rest of your school year and let us know if you have any questions. We’ll see you at Pirate Adventure! Go Pirates!

Sincerely,
Cheryl Janus

Letter to students qualified for room selection

The following email was sent to all 1200+ students who are qualified for the Room Selection process in April:

This email is to inform you that we have received your housing deposit or other essential information and you are officially qualified to participate in Room Selection this upcoming April for the 2014-2015 academic year.
You will receive a lot more information in the weeks to come but for a quick overview about the Room Selection process, I encourage you to check out our BuzzFeed Listicle entitled “The 12 Stages of Room Selection at Seton Hall University” http://www.buzzfeed.com/cherylj17/the-12-stages-of-room-selection-at-seton-hall-univ-ly16 for a fun overview!
The next step in this process is the calculation of your Priority Points. We will be working over Spring Break to combine your academic, judicial, campus involvement, and residence hall citizenship Priority Points to find your total Priority Point number. This number will determine in which order you may pick a room and for which Room Selection processes you qualify. (Please note you will need 29 or more Priority Points to retain your current room in Cabrini, Neumann, Serra, Ora Manor, or Xavier and will need 27 or more Priority Points to be pulled in as a roommate.) We will send all Priority Point totals via email the week of March 18th. For more information about Priority Points please go to http://www.shu.edu/offices/policies-procedures/housing-residence-life-priority-points.cfm .
Room Selection will begin in April and that is when you will be able to select a room for next year. The number of students who wish to select a room is very high so please have several back-up options for the room type you would like to pick. It’s a good idea to begin those conversations with your friends and family now.
Please remember in accordance to the Housing License Agreement, you must be registered as a full-time student (12 or more credits unless graduating) so please pay attention to class registration deadlines so your housing assignment will not be jeopardized.

Room Selection 2014-2015 Letter to Families

February 1, 2014
To the Families of our Seton Hall University Resident Students:
The Department of Housing and Residence Life at Seton Hall University wants you to know the 2014-2015 Room Selection process, begins today, February 1st, 2014. Students who wish to return to housing may submit their $325 non-refundable room reservation deposit and complete the roommate survey. These are the first steps in the Room Selection process. Students must meet all deadlines and complete all necessary steps in the process to be eligible to participate in room selection which begins the week of April 1st, 2014.
This is an exciting time for your student and we are sharing this information with family members, since you are our partner. Spaces are limited and demand for housing has been greater in the last several years. Should demand for 2014-2015 exceed available spaces, students who deposit and apply on time will be placed on the Housing Wait List in lottery number order and placed before students who deposit late. Any student who deposits after the deadline (February 28th, 2014) will be placed on the Wait List and be assigned as spaces become available. Wait List assignments are based on distance of home address from campus and date of deposit received.
Below is a brief informational checklist for Room Selection 2014-2015. Please ask your student to watch their SHU Email account throughout this process and for critical information regarding Room Selection. To keep in the loop, please like us on Facebook or follow us on Twitter – @SetonHallHRL.
 RESOLVE BALANCE – Prior to February 28th: Make sure all balances are cleared and there are no holds on the student’s account. If there is a balance on the account, the student will not be permitted to make a room deposit or participate in Room Selection. Students can check their hold status on Banner Self-Service.
 SUBMIT $325 ROOM RESERVATION DEPOSIT – February 1st-28th: The non-refundable room deposit of $325 is required and may be paid online 24 hours a day or in person in the Bursar’s office in Bayley Hall during business hours. Students who wish to be a part of the Room Selection process must submit their room reservation deposit no later than 11:59pm on February 28th, 2014. Please note: All credit card and electronic check payments must be made online through the “Pay Your Housing Deposit” link on the Housing & Residence Life website (http://www.shu.edu/offices/housing-residence-life/forms.cfm).
o Students who submit a room reservation deposit on time and complete a roommate survey, will have their Priority Points calculated and be given a lottery number (Priority Points is the values-based system that Housing & Residence Life uses to determine lottery order for the room selection process.)
o Students who submit a room reservation deposit late (after 11:59pm on February, 28th, 2014) will not have Priority Points calculated, will be ineligible to participate in the Room Selection process and will be depositing to our Housing Wait List.
 COMPLETE ROOMMATE SURVEY (formerly called Housing Application) – February 1st-28th: After submitting the Room Reservation Deposit, students complete the Roommate Survey online. Students who apply during this time frame will have their Priority Points calculated and be eligible to participate in the Room Selection process. As noted above, students whose deposits and surveys are received after 11:59pm on February 28th will be placed on the Housing Wait List and will be assigned when a room becomes available based on distance of home address from campus and date of deposit received. Please note: students who have a balance or registration hold on their account will not be permitted to complete a housing application until their account is cleared.
o Submission of the Roommate Survey means the student acknowledges and agrees to abide by the terms and conditions listed in the Housing License Agreement. This year’s License can be viewed on http://www.shu.edu/offices/housing-residence-life/forms.cfm.
 SELECT ROOM ASSIGNMENT – Beginning April 1st: Students who meet all Room Selection deadlines will participate in an Online Room Selection process to select their rooms for the 2014-2015 academic year. We will send more information directly to eligible students on how the process moves forward, including specific dates for living learning communities such as Sophomore Discovery Program and Turrell Manor Servant Leadership, throughout the spring semester.
After students submit their housing deposit and roommate survey, we are encouraging them to begin conversations with their peers about potential roommates and housing arrangements. We believe families are also an important part of this conversation. Different residence halls offer different living experiences and you can help your student to make good decisions that will enhance their experience at Seton Hall. Choice of roommates is also important to assure a good match in terms of living style and study habits. Your student may also wish to apply for one of our specialized living-learning communities which require a supplemental application in addition to the housing deposit and standard housing application. For more information on our residence halls and these communities, please visit www.shu.edu/go/housing.
It is our hope that this process will run smoothly for your student and that, with your help, your student will find a place to call Home at the Hall. If you or your student have any questions about the information contained in this letter, please call us at (973)761-9172 or email SHUHOUSING@SHU.EDU. You may also find us on Facebook at www.facebook.com/SetonHallHRL or Twitter @SetonHallHRL.
Sincerely,
